Camfil Group

A. Introduction

Camfil Group ("Camfil") collects and processes personal data about you:

  • who is a job candidate, i.e. applies for a job at Camfil or is in a recruitment process with Camfil ("Job candidate").
  • who has registered themselves in the Camfil Talent Pool ("Talent Pool member").
  • who provides a reference to a Camfil Job candidate ("Referee").
  • who requests that a current job vacancy be shared with someone ("Vacancy Sharer")

This recruitment privacy notice ("Privacy Notice") sets out which personal data that Camfil collects, and for which purposes the personal data is processed during the entire recruitment lifecycle, i.e. during the application process, during the recruitment process and after the recruitment process is finished.

If you are a Job candidate and get the job that you have applied for, Camfil will process your personal data within the scope of your employment at Camfil. Information about the processing activities related to your potential employment at Camfil will be provided in a separate Internal Privacy Notice.   

Throughout this Privacy Notice the term "processing" is used to cover all activities involving your personal data, including e.g. collecting, handling, storing, sharing, accessing, using, transferring and disposing of your personal Data.

The term "personal data" refers to any information relating to an identified or identifiable natural person.

B. Who is the data controller for the processing?

  • The data controller for a job candidate is both the Camfil Group and the Camfil Group entity in relation to the position.
  • If you consent to your personal data being retained for future consideration should your application be unsuccessful the data controller if the Camfil Group entity in relation to the positions.  
  • If you are choosing to register an interest in joining Camfil by joining our Talent Pool the data controller is the Camfil Group.
  • If you provide a reference for a job candidate, the data controller is the Camfil Group entity in relation to the position for which the job candidate has applied.   
  • If you request that Camfil share a job posting with someone you know, the data controller is the Camfil Group and also the Camfil Group entity in relation to the position.   

C. Applying for a job

From where do we collect your personal data?

We collect your personal data from:

  • Yourself, which you submit to us when you apply for the position at Camfil, (e.g. your resume and covering letter).
  • Someone who asks that we share, A person who provides us with your name and contact details so that we invite you to consider applying to Camfil in relation to a specific Job vacancy.
  • External recruiters, that have been involved in the recruitment process and that have provided information about you to Camfil.
  • Publicly available sources, e.g. when collecting information that you have published on professional network platforms such as LinkedIn or when carrying out background checks.
  • A Referee, when the Referee provides us with information about your suitability for the position that you, as the Job candidate, have applied for with Camfil.

Purposes of the processing of your personal data

1. To manage the recruitment process

Your personal data will be processed by Camfil within the scope of the general management of the recruitment process. Processing activities included in this process are e.g. collection of your personal data, review of resumes and cover letters, conducting interviews, evaluating you as a candidate and communicating with you within the scope of the recruitment process.

Retention period: Your personal data will only be processed for this purpose during the recruitment process and until (i) you either have been employed by Camfil or (ii) your application has been rejected.

If your application has been rejected, we will still process your personal data for the purposes outlined in purposes

If you consent to it, your personal data will also be processed in accordance with purpose D.

2. To assess Job candidates

Within the scope of the recruitment, Camfil carries out its assessment process of potential employees.

For some positions, the assessment can include the scanning of social media activity and other footprints on the Internet and can include background checks of you including e.g. credit checks and, where permitted under national legislation, criminal background checks

Legitimate interest. The processing of your personal data is necessary in order to satisfy our legitimate interest in carrying out background checks. By virtue of the sensitive and heavily regulated business operated by Camfil, it is important to Camfil to be able to ensure that its employees have passed the vetting process.

It should in this context be noted that Camfil will not process any criminal data. Any criminal background checks will be subject to a manual process.

Retention period: Your personal data will only be processed for this purpose during the recruitment process and until (i) you either have been employed by Camfil or (ii) your application has been rejected.

3. Administration of your participation in an online meeting or interview

When you are participating a online meeting or interview, we will process your personal data in order to administer your participation.

Legitimate interest. The processing is necessary in order to fulfil our legitimate interest in being able to administer your participation in the online meeting or interview.

Retention period: During the meeting/interview and for a maximum period of three (3) months thereafter (for evaluation purposes).

4. Administration of your participation in a meeting or interview at a Camfil site

Who is the data controller for the processing?

The Camfil Group entity whose premises you are visiting is the data controller for the processing.

How do we collect your data?

We collect the data directly from you or data that is generated by you when visiting our premises.

Purposes of the processing of your personal data
Visitor administration

We are processing your personal data when we administer your visits to our premises.

Legitimate interest. The processing is necessary in order to fulfil our legitimate interest in being able to arrange meetings and interviews at our premises.

Retention period: During the visit and for a maximum period of three (3) months thereafter (for evaluation purposes).

5. Concluding the employment agreement

Camfil will process your personal data in conjunction with the conclusion of the employment agreement with you e.g., when collecting references. Your personal data will also be processed in the employment agreement that we conclude.

Agreement. The processing of your personal data is necessary in order for Camfil to take measures prior to entering into an agreement (the employment agreement) with you.

Retention period: Your personal data will be processed during the conclusion of the employment agreement

6. Continue to be interested in job opportunities at Camfil by keeping your resume on file in the Talent pool

If you are not successful in your application, Camfil may still have an interest in keeping your personal data to contact you in the event of future vacancies that suit your profile. We will only keep your personal data for this purpose if you consent to the processing.

7. Evaluate and follow-up the recruitment process

8. Establish, exercise and defend legal claims

For the purposes of establishing, exercising and defending legal claims (for example in connection with a dispute or legal process) we may process your personal data.

Legitimate interest. The processing is necessary in order to fulfil our legitimate interest to establish, exercise or defend the legal claim, for example in connection with a dispute or legal process, e.g. in relation to a discrimination claim.

Retention period: Your personal data will for this purpose be stored for 24 months from the decision to turn down a Job candidate.

9. Fulfil legal obligations

Besides legal obligations within the field of employment, Camfil will process your personal data for the purposes of fulfilling legal obligations related to work permit checks, including storage of related documentation.

Legitimate interest. The processing is necessary to fulfil Camfil's legal obligations.

Retention period: For unsuccessful Job candidates, the personal data will only be stored during the recruitment process and not subject to any further retention. For successful Job candidates, the documentation will be stored for at least 12 months from the date of the end of the employment.

10. You wish to be considered again when there is a suitable job opportunity at Camfil

If you are not successful in your application, Camfil may still have an interest in keeping your personal data to contact you in the event of future vacancies that suit your profile. We will keep your personal data for this purpose if you consent to the processing.

1. Talent pool

You can register your interest in working for Camfil without applying for a specific job. Camfil has an interest in keeping your personal data to contact you in the event of future vacancies that we consider would suit your profile. We will only keep your personal data for this purpose if you consent to the processing.

We collect your personal data from:

  • Yourself, which you submit to us when you act as a Referee to a Camfil Job candidate.
  • The Job candidate, when a Job candidate provides you as a named Referee
  • A Camfil employee who knows you, as someone who knows the Job candidate

Purposes of the processing of your personal data

1. Using Referees in the recruitment process

In order to assess the Job candidate's suitability for the position in question, your personal data will be processed by Camfil within the scope of the recruitment process if a Job candidate has named you as a Referee.

For the purposes of establishing, exercising and defending legal claims (for example in connection with a dispute or legal process) we may process your personal data.

Purposes of the processing of your personal data

1. To promote information sharing in the recruitment process

Legitimate interest. The processing of your personal data is necessary in order to provide transparency to the person receiving a notification of a Camfil job vacancy.

Retention period: Your personal data will only be processed for this purpose during the recruitment process and until (i) the job applicant either have been employed by Camfil or (ii) the application has been rejected.

G. Disclosure and transfer of personal data

Where necessary in order to achieve the purposes of processing, we share your personal data with other entities, authorities or actors. Below you will find the categories of recipients who will process personal data on behalf of Camfil in the capacity as data processors (i.e. such actors will only process your personal data in accordance with Camfil's instructions). You will also find the categories of recipients who will process personal data in their capacity as a data controller (these recipients will determine the purposes and means of the processing without Camfil's involvement). Please note however that Camfil, regardless of the recipients' capacity, only will share your personal data with entrusted actors and only to the extent necessary.

1. Data processors acting on behalf of Camfil

In order to fulfil the purposes of the processing of your personal data and to be able run our business, we transfer personal data to external parties such as third-party service providers that we have engaged, as well as other partners. These external parties will act as data processors of Camfil and may only process your personal data in accordance with our instructions and not for their own purposes. Camfil is the data controller for the processing of personal data that these external parties carry out on our behalf. The purposes of the processing activities carried out by Camfil are outlined in each of the Sections C, D, E and F.

3. Appropriate safeguards for transfers of personal data outside of the EU/EEA

Should Camfil transfer or disclose your personal data to a recipient in a country outside of the EU/EEA (third country), Camfil will ensure that appropriate safeguards have been taken (such as the EU Commission's standard contract clauses, including other supplementary safeguards as necessary in each case) to protect the personal data. When the Camfil entities are sharing personal data within the Camfil Group, Camfil around the world | Camfil the standard contractual clauses and the supplementary safeguards are included in an intra group transfer agreement concluded between the entities within the Camfil Group.

You are entitled to request to receive a copy of documentation demonstrating that appropriate safeguards have been taken in order to protect your personal data during a transfer to a third country.

H. For how long do we keep your personal data

Camfil will retain personal data for the period necessary to fulfil the purposes outlined in this Privacy Notice, as described in connection to each purpose. We are applying the following criteria to establish our retention periods: (i) as long as the recruitment process in ongoing; (ii) as required by legal obligations to which Camfil is subject; and (iii) as advisable in light of our legal position (such as applicable statutes of limitations) in order to establish, exercise and defend against legal claims.

I. Your rights

Under applicable data protection laws, you have certain rights in relation to the processing of your personal data. We process your personal data to the extent necessary in order to fulfil your rights. Please submit requests for exercising your rights by contacting us on the contact details provided at the end of this Privacy Notice.

You have, under certain circumstances, the right to exercise the following rights:

Access

You may request confirmation whether or not personal data is processed and, if that is the case, access your personal data and additional information such as the purposes of the processing. You are also entitled to receive a copy of the personal data undergoing processing. If the request is made by electronic means the information will be provided in a commonly used electronic format if you do not request otherwise.

Object to certain processing

You have the right to object to the processing of your personal data based on a legitimate interest for reasons which concerns your particular situation. In such a situation, we will stop using your personal data where the processing is based on a legitimate interest, unless we can show that the interest overrides your privacy interest or that the use of your personal data is necessary in order to manage or defend legal claims.

Rectification

You have at any time the right to have inaccurate personal data rectified, as well as, taking into account the purposes of processing, the right to have incomplete personal data completed which relates to you.

Erasure

You may have your personal data erased under certain circumstances, such as when your personal data is no longer needed for the purposes for which it was collected. However, we cannot delete your personal data if we e.g. are obligated under law to keep the data.

Restriction of processing

You may ask us to restrict the processing of your personal data to only comprise storage of your personal data under certain circumstances, such as when the processing is unlawful, but you do not want your personal data erased. If the processing of your personal data has been restricted we may only, besides storing the data, process your personal data with your consent, in order to establish, exercise or defend legal claims or to defend rights of others.

Withdrawal of consent

You have the right to at any time withdraw your consent to processing of personal data to the extent the processing is based on your consent.

Data Portability

You may ask to receive a machine-readable copy of the personal data processed on the basis of your consent or on the basis that the processing is necessary in order to perform an agreement with you, and which personal data have been provided to Camfil by you (data portability) and ask for the information to be transferred to another data controller (where possible).

Complaints to the supervisory authority

You acknowledge that you always have the right to lodge complaints pertaining to the processing of your personal data to the Swedish Authority for Privacy Protection.
